AI & Automation

# We build AI agents that work in your existing systems.

Our AI agents read documents, check the information, make routine decisions and complete tasks in the software your team already uses. We combine AI, RPA and integrations, depending on the process.

When a case needs someone’s judgment or approval, the agent sends it to your team.

## What can an AI automation do?

01 · Read

### Read and understand

The agent extracts information from emails, PDFs, faxes and forms, even when they don’t follow the same format.

02 · Check

### Check and decide

The agent compares the information with your systems and business rules, finds what’s missing, and makes decisions when the criteria are clear.

03 · Act

### Work in your software

The agent enters data, updates records, submits requests and checks statuses. We use APIs when they’re available and automate the user interface when they’re not.

04 · Ask

### Know when to ask for help

Routine cases run automatically. Cases with missing information, unclear results or a need for approval go to the right person on your team.

## What our AI agents work with

Most manual work starts with something a person has to read: a fax, a letter, a scanned form or a message in a payer portal. The agent reads it, finds the information it needs and checks that information against your systems.

If a document is unclear or a field doesn’t match, the agent doesn’t guess. It sends the case to your team.

In healthcare

- Insurance cards and patient details

- Referrals, orders and lab requisitions

- Medical records for prior authorizations and appeals

- Eligibility, claim status and authorization responses

- EOBs, remittances and denial letters

- Faxes, scanned mail and payer portal messages

In other industries

- Invoices and accounting documents

- Reports, emails and business forms

- Records in ERP systems such as SAP

## AI when it’s useful. Regular automation when it isn’t.

Not every process needs AI.

We use AI for work that involves reading documents, interpreting information, or handling variations that are hard to describe with rules.

For predictable steps, we use code, APIs and RPA. This makes the automation easier to test, maintain and control.

Even when AI reads the document, the steps that change your records follow fixed rules. The same case always gets the same result, and we can test it before it goes live.

Each run is logged: what the agent read, what it checked and what it changed.

We reuse components from earlier projects, but every automation is built around your systems and your rules.

And if your systems don’t share information, we connect them too.

## We’ve automated processes in different industries.

Healthcare · AI agents for denials and mail

### A molecular diagnostics company in California

The billing team worked denials and paper mail from payers by hand, in XiFin and in payer portals. Our AI agents read each denial and each letter, match it to the right claim, and then resubmit the claim or post the letter in XiFin. Cases that need a person go to the team.

30 sper denial, down from 6 minutes

80%of a 3,000-claim backlog cleared in three weeks

95%less manual work on payer mail

Healthcare · eligibility checks

### Pain Treatment Centers of America

PTCoA’s staff checked insurance in payer portals by hand and copied the results between the EHR and the billing system. We automated the whole process.

~40 sper check, down from 5–7 minutes

8,000+checks a month

~3 FTEof staff time saved

GPS tracking · UiPath RPA

### Global-View

Activation requests came in by email, and staff set up accounts and devices in several applications. A UiPath robot now checks the payment, sets up the account and devices, and emails an administrator when there’s a problem.

Outside healthcare, we’ve automated work in manufacturing, energy, finance, tax, travel and telecom. [See business process automation →](https://www.flobotics.io/business-process-automation)

## Healthcare workflows we know well

We’ve built reusable components for the most common revenue cycle work. We adapt them to each client’s systems and rules.

### [Eligibility verification](https://www.flobotics.io/agents/eligibility-check-automation)

Check coverage, benefits and deductibles, then update the patient record.

### [Prior authorization](https://www.flobotics.io/agents/prior-authorization-automation)

Collect the clinical documents, prepare and submit the request, and track it until there’s an answer.

### [Claims management](https://www.flobotics.io/agents/claims-management-automation)

Check claims, find errors, and handle the routine corrections and follow-ups.

### [Denials management](https://www.flobotics.io/agents/denials-management-automation)

Find out why a claim was denied, gather what’s needed, and prepare the correction or appeal.

## How we work

-

### Understand the process

You show us the manual work, the systems and the exceptions. We estimate the effort, the savings and the ROI. If a process isn’t worth automating, we tell you.

If patient data is involved, we sign a BAA first.

-

### Build and test

We pick the technology that fits, build around the applications you already have, and test on real examples before anything goes live.

-

### Run and maintain

We put it live, watch the results, fix problems, and update it when your systems or rules change.
